CAUTION:  THIS SCREEN HAS A LOT OF POWER.  GO SLOW! (smile)

K4s (Daily Only):

You - the front office - can mark a student absent for dates in the future (or past).  In the example below we are going to set a student to be out for a surgery for a week. You could use this setup for the same idea if a student is leaving for a month long vacation or extended period away from school.  This also applies to any of the codes that we have.

  1. Find the student

  2. Click on Attendance

  3. Click on Daily since we know the student will be out for the entire day.

  4. Click on Change Multiple Days

  5. Enter in the from and to dates (starting and ending dates)

  6. Choose all codes to scan for

    1. If you were changing a series of absent unexcused to absent unexcused for this specific student, you could choose only absent unexcused to search for and apply this change.

    2. This box to scan would be used if you were scanning for codes in the past (other than present and/or blank because attendance hasn’t been taken).

  7. Choose the code to set if there are any of the codes found (IE: What are you going to replace the code with?)In the "Codes to scan for", chooose the appropriate codes (CTRL + Click) for those to search for.

    1. This box is essentially "What codes are we looking to change"?
  8. Choose the appropriate "Attendance code to set" – IE:  What is the code that you're changing to?

  9. Leave the “if other than a default present” overwrite as “overwriting”.
    1. This simply is asking “if a student was marked as A or AUX (Absent Unexcused) should we overwrite that code to the new one?”  If this was in the past, then yes you would want to change it.

  10. Enter in a comment for the attendance if necessary (IE: Family Vacation)
  11. Click Submit.

If you are a school where period attendance is taken (MIS/JH), you’ll probably want to change the meeting attendance as well (so then the teachers can’t mark the student as being present when you know he’s not in school.

This also works for those scenarios where a student is sent home by the nurse and is required to stay out of school due to a medical reason (24 hours)MPC, MIS and JH (Meeting Attendance):

For MIS and JH - you can also do the meeting only and it'll sync over for the daily code + comments as well.

  1. Find the student.
  2. Click on Attendance.
  3. Click on meeting (if you're not on that screen already)
  4. Click on the "Change Meeting Attendance"
  5. Enter in the from and to dates (starting and ending dates
  6. Select all button from the bottom of the period list.  (The system is smart enough to know if the student doesn't have that class / period on that day then it won't change anything.)
  7. In the "Codes to scan for" you can CTRL + click for multiple codes to change .. but this box is asking:  What codes should I find and only change those?

  8. Choose the appropriate "Attendance code to set" – IE:  What is the code that you're changing all of these occurances that we found to?
  9. Leave the "if other than a default present" overwrite as "overwriting"
    1. This simply is asking "if the student was marked A or AUX (Absent Unexcused), then should we overwrite that code to a new one?"  Generally, the answer is yes.  (smile)
  10. Enter in a comment for the attendance if necessary (IE: Family Vacation)
  11. Click submit.
