Mass Enrolling Students in Sections

You will want to work with the majority of the students and then work with the individual students where it may not apply and/or need to be different from the majority.

Step 1: Select all your students for who you want to mass enroll into the same class

Using either multiselect (if you have the student’s first name/last name, or student number) or by grade levels > select by hand.  (if you need to do multiple grade levels then you’ll want to use the advanced options and create that customized selection).

Courses and Programs > Mass Register or Mass Register from group function dropdown

From the start page, click on the right triangle next to the button that may read “Functions” or whatever the last thing that you used was.  Next click on “Mass Enroll”Register”

Alternatively, from the group functions lists (if you used a stored search or a stored selection of students), click on “Mass Enroll”Register”

Step 3: Options… for mass enrolling

Know the actual course number and section for an assigned teacher?  Type it in the format of courseNumber.SectionNumber > Enroll.

Don’t know the Course Number and/or Section Number for a particular section?  That’s fine, use the searching options to find the course that the students need to be enrolled in.   Image Removed

The following are all of the available options that you can

  • Period = The period when the class is taught

  • Day = The day the period meets [We only have ‘A’ Days

  • Term = when the class is taught (Year Round classes are 18-19, K classes are broken into Trimesters)

  • Grade = Grade Level of the course

  • Teacher = Teacher Assigned to the Class (probably using the most)

  • Credit Type = not used

  • Course = Exact # of the course

  • Show Only Classes with available seats = Check to see only classes that have seats available or leave unchecked to see ALL classes.

Click on the Course Name to enroll the student(s) into that section.

Step 4: Preview Enrollment Screen

Some classes MAY be dependently linked, meaning if they are enrolled in (1) section then they are also auto enrolled in other sections.  In this example, we see that each student will automagically be enrolled in the Lunch class as well as each K trimester attendance course.

The date on the enrollment is wrong?  Need to be effect say 10/02/2018 instead of TODAY?  Click the “Edit Date” button at the top. The dates are changed on the enrollment preview.

Step 5: Enroll the Students

At the bottom you’ve got a few options… Enroll Students or Enroll Students and Reschedule

Enroll Students if you are done working with this group of students (it’ll take you back to the start page post selection)

Enroll Students and Resculede Reschedule = to continue working with this group of students

Step 6: Check the schedule for the student

Afterwards, go back to an individual student >  look at the different views under Scheduling. You should see the student schedule in the class.  Alternatively, you can click on School > Sections > find the course name on the left > click on the enrollment # to see a listing of all the students in the list.  (You could ALSO go to teacher schedules > find the teacher > enrollment #s)

Fun Tidbit: Let’s say you scheduled all 25 students into their homeroom classes, but 2 students are pulled out to see the special education teacher.  You can schedule the majority of the students and then tweak those students where a special case is involved. Go into that student > Modify Schedule (on the bottom left) and drop the gen ed class.  You can then schedule the student into the special education section without affecting any of those other course links.
