Retro-updating Lunch Transactions to reflect the new lunch status for a student.

  1. Get the internal student ID (student DCID) found on the ‘teacher comments’ page.

  2. System > Page Data > Data Export Manager

  3. Category = Database Extensions; Export from “U_lunch_Transactions”

  4. Select all fields  > Next

  5. Filter by:

    1. Patron ID = internal student ID (student DCID #)

    2. Can also do some filtering for before an effective date (if needed)

  6. Per transaction you’ll make 4 edits.  You can only edit 1 field at a time. To edit all the fields at one time with the SAME field click “Edit All Transactions”.  This will only change the ones that are shown

    1. Item Price - amount of the item

    2. Lunch Status - these are the db values

      1. F = Free; R = Reduced; P = Paid

    3. Net Effects - this is what happens to the overall effect of the balance

    4. Debit - this is amount of how much it’ll be debited from the account.

  7. Find the student and check out their transaction details.


*STOP: A student bought an extra milk with hot lunch and/or is cold lunch but brought a milk?  The milk is paid in full.

Fixing the balance amount of the student post lunch transaction fix

  1. Find the student > Group Functions > Student Field Value

  2. Field to change = “balance1”

  3. What to change to?  = if ‘zeroing’ the balance out, then leave it blank.

    1. If a parent has an imported balance and/or carry over balance from previous years with no deposits, set it back to the Start of Year (SOY) balance.

    2. If a parent has an imported balance and/or carry over balance from previous years with deposits, do the math from SOY + deposits
