How to enable Appointment Schedules (If you don't have them by default) :

1: In Google Calendar, click on the settings cog at the top right of the page and select Settings.

2: Once you’re on the settings page, scroll down to Appointment schedules and ensure “Create appointment schedules instead of appointment slots” is selected.

  1. Now when you click on the big “Create” button you should see Appointment schedule at the very bottom.

Parent Teacher Conference Example Set-up :

1. Appointment Duration - How long is each appointment?

Example: I would like 15 min appointments

2. General Availability - When are you available for appointments?

Example: I just want appointments on Nov 2nd & 3rd, so I’ll hit the “Does not repeat” button and I’ll select the dates/times desired

3. Scheduling Window - Minimum time before the appointment start that it can be booked

Example: I want at least a 24 hour heads up before any parent/teacher conferences so I’ll select 24 hours.

4. Booked Appointment Settings - Manage max bookings per day & booking buffer time

Example: I want a buffer time of 5 minutes between appointments & I don't care how many appointments I have a day so I will keep that box unchecked.

5. Calendars Checked for availability - Any busy times on the selected calendars will be automatically removed from the booking window

Example: I would leave this off so calendar events don't conflict with the appointment schedule (If you have an event in your calendar that says your busy, then those time slots will be removed from your appointment schedule page

(Hit the blue next button to go to page 2)

6. Location and Conferencing - Location of conference

Example: In Person meeting @ Minooka Intermediate School in Room 219 (First Floor)

7. Description - This will add a note to your booking page & reminder emails. (Put any extra info here)

Example: Q1 Parent Teacher Conferences with Mr.Joey

8. Booking Form - This is the from parents will fill out when selecting a time slot.

Example: I would require Parent Name, Student Name, Email, Class Period, etc

9. Booking confirmations and reminders - Send reminder emails to parents

Example: I’ll select one reminder email one day before our meeting.

10. Sharing with Parents - Once you’ve created the bookable appointment schedule, click on the large Share button & copy the link for a single booking page.

If you open the share link in another tab it will show the booking page. (Which is what parents will see to select a time slot)
